Licences and seats

How plans grant modules, how floating seats work (60 s check-in, 3-minute expiry, one seat per person), and how to request more seats.

Overview

Your company holds licences per module. A licence gives a number of floating seats: any member may use the module while a seat is free. Three seats means any three people can use that module at once, however many colleagues have accounts. A seat belongs to the company, not to a person.

Open Licences under Account in the left menu to see seats by module, who holds each seat, and your licence requests.

How a seat works

  1. You open a seat-licensed module. Your browser asks the server for a seat.
  2. If one is free, you get it. Your browser checks in every 60 seconds while the module is open.
  3. You leave the module or close the tab: the seat is released at once.
  4. If a browser stops checking in (sleep, lost connection, crash), its seat frees itself 3 minutes after the last check-in.

The same person in two tabs uses one seat. The seat frees when the last of their tabs leaves the module.

While you hold a seat, the server issues a short-lived signed seat token (valid 5 minutes, renewed at every check-in). The server checks it before it saves module data, so the seat count holds even though calculations run in your browser. Two people racing for the last seat cannot both get it.

When all seats are taken

The module shows All N seats for <module> are in use, lists who holds each seat and since when, and offers:

  • Try again: ask for a seat now.
  • Notify me when free: Converge checks every 30 seconds, takes the seat as soon as one frees, and opens the module. If the tab is in the background and you allowed browser notifications, you get a notification "A <module> seat is free". Stop waiting cancels.

When the module is not in your plan

The module shows <module> is not in your plan, with the company's plan and how each plan grants the module. If your role has Request licences, select Request licence. If someone in the company already asked, it shows Requested by <name> · waiting for Converge.

Request seats

You need Request licences.

  1. On Licences, select Request licence (or use the button on the module's plan screen).
  2. Choose the Module and the number of Seats (1 to 1,000). Add a Note for Converge if useful: what the seats are for, timing, budget holder.
  3. Submit. The request shows as Pending.

Converge reviews the request. When it is decided, the company owner gets an email and the request shows Approved or Declined on the Licences page, with Converge's reason if one was given. An approved request adds seats straight away; open the module again to use them.

  • A company can have one pending request per module. A second request for the same module is refused while the first is waiting.
  • You cannot request a module your plan already includes without seats (for example Black-oil PVT).
  • The requester, or anyone with Manage members and roles, can Withdraw a pending request.

Seat cards

Each module with seats shows a card on Licences: N / M in use, a bar of seats, each holder's name and how long they have held it, how many seats are free, and Valid until <date> or No end date. A card notes "more seats requested" when a request is pending for that module.

Your Profile page lists the seats you hold right now.

Releasing someone else's seat

A seat held by a closed or idle browser frees itself within 3 minutes. Members with Manage members and roles can end any seat in the company through the API (POST /v1/seats/{module}/force-release); the app has no button for it. Removing a member also ends their seats. Every forced release is in the audit log.

When licences change

If Converge reduces or revokes a licence, seats above the new count end at their next check-in. The most recently taken seats end first. If your role loses a module permission, your seat for that module ends at the next check-in.

API and scripting seats

API calls take seats the same way as the app, with no check-in: each call refreshes the seat, and it lapses 3 minutes after the last call. Every API-key request holds the member's Integrations seat, and an engine call also holds its module's seat. Your app tabs and your API calls share one seat per module. See API keys.
