Review and sign-off

Submit a project version for review, approve or reject it under the four-eyes rule, and keep frozen reporting versions. Plus project comments.

Overview

Review & sign-off lets one person submit a version of the project and a second person approve or reject it with a comment. An approved version is frozen as a reporting version: it cannot be edited or deleted, and it carries the approver, the date and a SHA-256 fingerprint of its data. Every step is written to the audit log.

Open Review & sign-off in the Project group of the left menu. It needs no seat.

Who can do what

Step Permission Default roles

Approve or reject, withdraw anyone's submission Approve or reject versions Owner, Admin

Rules the server enforces:

  • Four-eyes rule: the person who submitted a version cannot approve or reject it. The app explains: "You submitted this version, so someone else must approve or reject it."
  • A rejection must say why. An approval comment is optional.
  • A version can have only one open submission at a time.
  • API keys cannot submit, approve, reject or comment. Sign-off is a person's act in the app.

See Team and roles to change who holds these permissions.

Submit a version

  1. Make sure the project is saved to the cloud. The sample field and a frozen reporting version cannot be submitted.
  2. On Review & sign-off, under Submit for review, enter a Title (for example "Year-end 2026 reserves") and, if useful, a Note for the reviewer: what changed and what to check.
  3. Select Submit for review.

Converge stores the project exactly as it is on the server at that moment as a new version labelled "For review: <title>", computes the SHA-256 fingerprint of its data, and lists it under Waiting for review.

Approve or reject

Each card under Waiting for review shows the title, the submitter, the time, the note and the fingerprint.

  1. Enter a Reviewer comment (required to reject).
  2. Optionally change the Reporting label when approved. It defaults to the submission title.
  3. Select Approve and freeze, or Reject.

Withdraw takes a submission back without a decision. Rejected and withdrawn submissions move to Rejected and withdrawn, with who decided, when, and the comment.

Reporting versions

Approved versions are listed under Reporting versions, each with an approval stamp:

  • APPROVED · <reporting label>
  • Submitted by <name> <date> · approved by <name> <date>
  • The approver's comment
  • Fingerprint (short form) · frozen

Select Open read-only to load a reporting version. It opens under the same stamp, and every data edit is blocked with "This is an approved reporting version. It is frozen: go back to the working project to edit." Select Back to the working project in the banner to return.

The freeze is enforced in your company's database, not only in the app:

  • An approved version cannot be changed or deleted.
  • A reporting version opened in the app is never saved over a working project.
  • A project that holds an approved reporting version cannot be deleted.

Local mode

In local mode (no sign-in), the same steps run in your browser and nobody else can see them. One person both submits and approves, so the page labels this "a record, not an enforced sign-off", and the stamp reads "This browser, not enforced". Sign in to a company workspace for enforced, audited sign-off by a second person.

Comments

Every page of a project has a Comments drawer. You need Comment on projects to write (Owner, Admin and Engineer by default); Viewers can read.

  • A comment is attached to the module you are on (and the compositional PVT tab, where relevant).
  • Reply to a comment, @mention an active colleague, and Resolve or Reopen a thread. Each thread shows Open or Resolved.
  • Show the comments for the current module, or All comments on the project.
  • Comments that mention you are marked mentions you. Converge does not send an email or notification for a mention.
  • The drawer shows who else has the project open, by name, refreshed every 30 seconds.

The sample field and frozen reporting versions cannot be commented on.

Reserves sign-off

The Reserves page books volumes for reporting. Submit the project here once the booking is ready, so an approver freezes the version the reserves figures came from.
